TERMS AND CONDITIONS

These Terms and Conditions govern all services provided by Book A Coach Bus (“Company,” “we,” “our,” or “us”). By booking services, signing an agreement, or submitting payment, you (“Customer”) agree to the following terms.

1. Contract Formation

Quotes are based on vehicle and driver availability at the time they are issued. Availability is not guaranteed until the Customer has signed the agreement and Book A Coach Bus has confirmed the reservation with a transportation provider. If confirmation is not issued within five (5) business days, the agreement may be considered void. We reserve the right to decline service if a suitable operator cannot be secured at the quoted rate.

2. Payment Terms

For reservations made more than 30 days in advance, a deposit of 20% is required to secure the booking. The remaining balance must be paid in full at least 30 days prior to the service date. For bookings made within 30 days of service, full payment is required at the time of booking. Payments made by credit card may incur a processing fee of up to 4%, which may be waived for payments made via check, wire transfer, or certified funds. Late payments may be subject to a daily interest charge of 1%. Customers are responsible for including their invoice or contract number with payment to ensure proper processing.

3. Collections and Enforcement

In the event of non-payment or breach of contract, the Customer agrees to cover all reasonable collection costs, including legal fees, court costs, and related expenses permitted by law.

4. Security Deposits

If a security deposit is required, its return will be determined solely by the transportation provider after inspection of the vehicle following service. Any damages or excessive cleaning may result in partial or full forfeiture of the deposit.

5. Service Standards

We work with vetted and properly licensed transportation providers. All operators are required to meet safety, insurance, and regulatory standards. Vehicles are assigned based on availability and are inspected for safety and reliability. Seating capacity will match the number of passengers specified in your booking.

6. Itinerary Requirements

A complete and final itinerary must be provided at least seven (7) days prior to the service date. Failure to provide this information may result in cancellation and potential forfeiture of a portion of the contract value. Pricing may be adjusted based on final trip details. For overnight trips, the Customer is responsible for providing and covering lodging accommodations for the driver.

7. Changes and Additional Charges

Any changes requested by the Customer that increase travel time, mileage, or scope of service may result in additional charges. Customers may be required to sign a trip sheet confirming service completion times. Additional expenses such as tolls, parking, driver accommodations, and cleaning fees are the responsibility of the Customer unless otherwise stated. Any unforeseen costs incurred during the trip will also be billed accordingly.

8. Personal Belongings

Passengers are responsible for their own personal items at all times. Book A Coach Bus and its service providers are not liable for lost, stolen, or damaged belongings. Storage space is limited and subject to availability as determined by the operator.

9. Damage to Vehicles

The Customer assumes responsibility for any damage caused to vehicles by passengers during the service period. Costs associated with repair or cleaning will be charged accordingly.

10. Right to Refuse Service

Drivers and service providers reserve the right to refuse transportation to any individual who is under the influence of drugs or alcohol, behaving in a disruptive or unsafe manner, or posing a risk to others.

11. Passenger Conduct

Passengers must follow all safety rules and may not interfere with the driver or tamper with vehicle equipment. Failure to comply may result in termination of service without refund.

12. Prohibited Items

Firearms, explosives, fireworks, and other hazardous materials are strictly prohibited on all vehicles.

13. Authority to Bind Agreement

The individual signing the agreement represents that they have the authority to bind the Customer to these Terms and Conditions. If no signature is provided, submission of payment constitutes full acceptance of these terms.

14. Limitation of Liability

To the fullest extent permitted by law, Book A Coach Bus shall not be liable for indirect, incidental, or consequential damages. Total liability, if any, shall not exceed the amount paid for the service. Any complaints must be submitted in writing within five (5) business days following the service date.

15. Delays and Force Majeure

Arrival and travel times are not guaranteed due to factors beyond our control, including traffic, weather, mechanical issues, or road conditions. Book A Coach Bus is not responsible for delays or service interruptions caused by such events.

16. Cancellation Policy

All cancellations must be submitted in writing via email. Cancellations made more than 30 days prior to service are eligible for a full refund. Cancellations within 30 days of the service date are non-refundable. Changes to service dates may be treated as cancellations.

17. Restricted Activities

The following are not permitted without prior written approval: decorations, alcohol consumption (fees may apply if permitted), smoking, glass containers, spiked footwear, fuel containers, and generators. Keg or tap-style alcohol is strictly prohibited.

18. ADA Accessibility

Customers requiring ADA-accessible or specialty vehicles must notify us in writing at the time of booking so appropriate accommodations can be arranged.

19. Media and Copyright Compliance

Certain vehicles may include entertainment systems; however, availability is not guaranteed. Customers are responsible for ensuring that any media played complies with copyright laws. Book A Coach Bus is not responsible for unauthorized use of copyrighted materials.

20. General Provisions

These Terms and Conditions are governed by the laws of the State of Washington. Any disputes shall be handled within the appropriate courts of that jurisdiction. This agreement represents the entire understanding between the parties and supersedes any prior agreements. Any modifications must be made in writing and agreed upon by both parties. Customers may not transfer or assign this agreement without written consent, while Book A Coach Bus reserves the right to assign its obligations as needed.
